About the Role

Use your project administration and coordination skills to support the Project Delivery team and help to deliver next-generation distributed energy resource solutions, including energy storage and solar, for the electric power system. This position is based in Melbourne, Australia.

We require strong administrative and project coordination skills and a keen interest in projects that focus on solving real-world electric utility problems. Desired capabilities are a strong plus. Job responsibilities and qualifications follow.

Requirements

  • Strong administrative skills, and an understanding of project management techniques.

  • Ability to support and collaborate with a small, fast-paced team to deliver customer value in an often highly ambiguous work environment.

  • Self-motivated and ability to work independently.

  • Excellent verbal and written communication, and interpersonal skills.

  • Excellent attention to detail and strong ability to identify priorities.

  • Ability to own and coordinate flow of multiple administrative tasks with internal and external stakeholders.

  • Ability to work independently to organize and prioritize competing demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast-paced environment.

  • Proficient in MS Office programs, with special emphasis on Excel and Word.

Desired Skills

  • Tertiary qualified (Business, Science, or Engineering fields)

  • Experience administering and coordinating large, complex technical engineering projects.

  • Proficiency working with NetSuite and MS Project

Responsibilities

  • Provide administrative support to Doosan GridTech Australia Project Delivery team in all aspects of design, schedule and budget for small and large megawatt-scale, grid-connected energy storage projects and other adhoc project tasks as needed.

  • Organize internal and external meetings with customers, vendors and Project Delivery team; Record and log meeting minutes and distribute to relevant parties in a timely manner.

  • Manage internal and external project folders structure and organization.

  • Update and manage project schedules and task lists, once created.

  • Monitor project progress and provide frequent status reports to Project Delivery leadership; Record and organize project notes and lessons learned throughout project lifecycle and distribute to relevant parties within established deadlines.

  • Triage information flow within the team to ensure accurate and timely communication to all stakeholders.

  • Interface effectively and professionally with clients, other Contractors and Sub-contractors; Escalate issues, problems or relevant information to project managers and stakeholders; Collaborate with project managers to deliver effective solutions.

  • Procure miscellaneous project delivery materials, equipment and consumables, and coordinate delivery to Doosan GridTech’s project sites throughout Australia, as required.

  • Maintain project travel and corporate credit card expense records; data entry into NetSuite.

  • Partner with Contract Manager to support administration of change orders, monitor contract obligations and deliverables, assist with lien waivers and track software updates and warranty obligations, as required.

  • Identification of process improvement initiatives and support stakeholders with implementation of recommended process solutions.
